The Outdoor Wedding Venue Checklist

What to ask — and what to walk away from — when you're touring an outdoor wedding venue in Texas.

Touring an outdoor wedding venue should feel exciting. But between the views and the sample menus, there's a short list of questions that separate a great day from a stressful one. Here's the checklist we wish every couple walked in with.

1. What's the weather plan?

Every outdoor Texas wedding needs a real answer to this — not "we'll figure it out." Ask to see the actual rain plan. Is the backup space the same room you'll use for dinner, or is it elsewhere? Who makes the call, and by when?

At Moon Flower Hill, the Pavilion is our all-weather answer: a covered, climate-adjacent space that can host ceremony, cocktails, and reception without moving a chair.

2. How does vendor selection work?

Some venues lock you into a catering list and keep the markup. Others charge you a fee to use outside vendors. Ask the direct question: "Are there vendors I'm required to use, and what do they cost?"

Our BYOV model means you choose every vendor — catering, florals, photography, rentals, DJ. We handle bar service; everything else is yours.

3. How private is "private"?

At many venues, "exclusive" means exclusive to your event — but the property hosts three weddings a weekend. Ask how many events overlap with yours. Ask where the other couple's cocktail hour is.

Fifteen private acres means only one event on property at a time. The driveway is yours. The views are yours. The day doesn't borrow attention from the ceremony next door.

4. What's included — actually?

  • Tables, chairs, and basic furniture (and how many of each).
  • Preparation suites for both parties.
  • Parking, lighting, sound support, climate-controlled spaces.
  • Staff coverage for setup, during the event, and breakdown.
  • Bar service and the tier of package that's baseline.

A clear inclusions list is the single best predictor of how calm the planning process will be. Vague answers here tend to turn into invoices later.

5. What's the guest experience outside the event?

Where do guests stay? Where do they park? Is there an on-property lodging option, or are they driving thirty minutes to a hotel? The best weddings spill over — welcome dinners, next-day brunches, shared breakfasts — and that's only possible when the property invites them to linger.

The venue is the only vendor choice you make that shapes every other decision. Take the tour twice if you need to.

One more thing.

If a venue is the right one, you'll know it before you sit down with the contract. Everything we've listed is just there to make sure you're comparing like with like.
